Privacy Policy
Privacy Policy of PRAGSANS MUSICAL INC.
Effective date: 1 January 2026
This document explains how PRAGSANS MUSICAL INC. gathers, uses, stores, shares and protects personal information across its software and coordination services for ensembles, event producers and performing groups. Please read this policy together with the Terms of Service.
1. Introduction
At PRAGSANS MUSICAL INC. we hold the view that respectful handling of personal information is part of delivering a professional production service. This privacy policy sets out the practices that guide the collection, use and protection of data when you interact with our website, our booking systems, our rehearsal coordination tools and our studio services.
The rehearsal hall is a place where trust between players, producers and staff matters. The same idea shapes this document. We want every ensemble member and every event producer to understand clearly what data we hold, why we hold it and how they can stay in control of it. This site and the digital services described in it were developed for PRAGSANS MUSICAL INC. by the developer team led by Pragsans, who is responsible for the technical architecture described throughout.
This policy covers personal information that identifies you or that can reasonably be linked to you. It does not cover information that has been irreversibly anonymised so that it can no longer identify any individual. Where we talk about personal information in this document we mean data linked to a person who can be identified.
2. Who We Are
PRAGSANS MUSICAL INC. is a company incorporated in the United States and organised under the laws of the State of Utah. The full business name is PRAGSANS MUSICAL INC. Our registered business address is 2743 W Harker View Ln, Taylorsville - 84129-5563, United States (US).
We provide services in the field of computer systems design and computer integrated systems design, together with the professional, scientific and technical services that support musical production. Our work spans rehearsal scheduling, instrument backline, venue sound and stage planning, sheet music library management, event booking and recording session production.
For the purposes of applicable privacy law, PRAGSANS MUSICAL INC. acts as the controller of the personal information that we collect from the people described in this policy. Where another organisation directs how our services handle data on its behalf, that organisation may act as a controller or a processor in its own right, and its own privacy notices will describe its obligations to you.
3. Scope of This Policy
This privacy policy applies to information collected through our public website, through the coordination software we build for ensembles, through participation in rehearsal and recording events, through written and telephone enquiries and through any other service we provide under the PRAGSANS MUSICAL INC. name.
The policy describes practices that apply when the data belongs to an individual. Where you contact us or use our services on behalf of an organisation, such as a school district, a music conservatory, a church choir or an event production company, the information about you as an individual representative is still covered by this policy.
This policy does not describe the separate handling of data that is fully owned by client organisations within their own systems. Where a client runs one of our tools inside its own administrative environment, that client remains responsible for the data protection notices it gives to its own ensembles and audiences, and our role is limited to acting on clear instructions.
4. Information We Collect
The information we collect depends on how you use our services. We collect only what is genuinely needed to run a rehearsal or a production with care, and we keep that collection to a sensible minimum.
Contact identifiers. When you enquire about a booking, request a quote or ask a question, we may collect your full name, an email address, a telephone number and a postal address so that we can answer you properly. In relation to the user agreement, our records may also hold the account details that a producer chooses to share with us.
Professional details. For ensembles, we may hold the roles people play, such as section, instrument, chair and preferred scheduling windows. For event producers we may hold details about the venue, the date, the scale of the event and the technical rider terms agreed as part of a production contract.
Technical usage data. When you browse the website we may observe standard technical signals such as the kind of device, the browser version, the general geographic region implied by an internet address and the pages or resources you access. This helps us maintain a stable service.
Calibration and preference data. Where our tools support rehearsal planning we may collect scheduling preferences, part library preferences and seat or stage preferences, but only to the extent that the ensemble has agreed to share these details with us.
5. How We Collect Information
Information reaches us in a number of ordinary ways. The most important is that you give it to us directly. You complete a contact form, send an email to ask@pragsans.lat, speak to us on the telephone at +18065314506 or provide details face to face at a rehearsal or a studio session. In each case you choose what to volunteer and how much.
We also collect information automatically when you use the website. Small files and similar technologies gather technical details so that the pages load reliably and so that we can understand which sections are useful. These mechanisms do not normally identify you by name.
We may receive information from other people. A section leader may nominate you as an alternative for a rehearsal, a producer may list your instrument on a rider, or a venue may forward a technical requirement that names your group. When someone gives us information about you in this way we aim to let you know, unless we are prevented from doing so by law.
We do not buy personal data from brokers, and we do not conduct aggressive data enrichment against the records we hold. The records we build come from ordinary service relationships and are kept to the purpose for which they were gathered.
6. Purposes of Processing
We process personal information for clear, related aims. Responding to enquiries is the first of these aims. When you write or call we use your contact information to answer your questions and to provide the quotations and information you request.
Arranging and running services is the second aim. That includes scheduling rehearsals, planning stages, preparing parts, coordinating backline, managing bookings and producing recorded sessions. Each of these tasks depends on the accurate details that the service user has shared.
Delivering the website and its software is the third aim. We use technical data to keep the pages available, to resolve faults and to improve the way content is presented to visitors.
Administering our contract, our accounts and our legal obligations is the fourth aim. This covers invoicing, renewals, audit, complaint handling and the maintenance of business records that law requires us to keep. We may also process limited information where it is needed to protect rights, to prevent fraud or to meet a lawful request from a public authority.
We do not use personal information for purposes that are incompatible with the ones described here. If a genuinely new purpose arises, we will assess it against the original reason you gave us your data and we will update this policy before we act on the new purpose.
7. Legal Bases for Processing
Where the laws of the United States, the European Union or another jurisdiction require us to name the grounds that justify our processing, we rely on the following depending on the situation.
Contract. Where we process your information to provide a service that you, or the organisation you represent, have asked us to supply, that processing is carried out to perform a contract or to take steps at your request before a contract is formed.
Consent. Where we rely on your agreement for actions such as subscribing to a notice list or enabling a particular tool, we ask for that permission clearly and separately, and we make it as easy to withdraw as it was to give.
Legitimate interests. Some processing is based on the balanced interests of running a reliable business, keeping our tools secure and improving our understanding of how services are used, provided that your own rights and expectations are respected.
Legal obligation. Some records are kept because a specific law requires us to keep them, for example for tax, audit or safety purposes. Where that is the case we process only what the law demands and no more.
10. Third Party Services
From time to time we may offer tools that are supplied by another company, such as a scheduling calendar, a document library or an account infrastructure that we integrate into our own system. When you use one of these tools, the supplier that operates it may process some of your data under its own terms.
We select integrated services with an eye to their stated privacy commitments. When we place a link to an integrated service we try to tell you which company operates it so that you can consult its notice directly before you enter sensitive details.
We do not answer for the separate privacy practices of companies that we do not control. If you follow a link away from our pages to a site operated by another organisation, that organisation becomes responsible for the data it collects on its own pages.
11. Data Retention
We keep personal information only for as long as it serves a described purpose or as long as law insists that we keep it. When neither reason survives, we delete or permanently anonymise the record.
Enquiry and contact details are ordinarily retained for a reasonable period after the conversation ends so that follow up is possible if you come back to us. Accounting records are kept for the periods required by tax law in the United States, which generally exceeds the life of the underlying enquiry.
Records tied to an active project, such as a rehearsal season or a recording campaign, are often kept for the length of the project and then for a short archive window in case a reissue or a dispute arises. Technical logs that contain device details are trimmed continuously so that they always hold the least amount needed to diagnose a recent issue.
When a retention period ends, automatic and manual routines remove the records from live systems and from the backups that no longer need them. We ask producers who stop using our tools to confirm the fate of their project files so that we can close the records cleanly.
12. Privacy for Children
Our services are directed at working musicians, professional producers and the institutions that support them. They are not directed at children, and we do not knowingly collect personal information from a child without the verified consent of a parent or a legal guardian.
Where a school music program or a youth ensemble uses our coordination tools through its own arrangements, the institution remains responsible for obtaining whatever parental or guardian consent its jurisdiction requires. We recommend that institutions explain rehearsal programs to families before entering student details into a shared scheduling tool.
If you believe that a child has provided personal information to us directly without the involvement of an adult in our care, contact us at ask@pragsans.lat and we will take reasonable steps to remove that information promptly and to investigate how it arrived.
13. Your Rights and Choices
Depending on where you live and on the law that protects you, you may hold a number of rights over the personal information we keep. We honour these rights in whatever jurisdiction we operate, subject to clear exceptions laid down by law.
Access gives you the ability to ask what information we hold and to receive a copy of it in a readable form. Correction lets you ask us to fix data that is wrong or out of date. Erasure lets you ask us to delete records where the legal basis no longer supports keeping them.
Some laws grant a right to restrict processing, a right to object to processing that relies on legitimate interests, and a right to data portability that hands you your records in a structured format. Consumers in certain states also hold rights that let them ask what categories we share and direct that we do not sell their data, which as a matter of course we already decline to do.
You may exercise these rights by writing to us at the contact address below. We will respond within the window that the applicable law sets out, and we will confirm our identity steps so that we do not give your data to anyone posing as you.
14. Your Privacy Controls
You hold practical controls that may be broader than any single law. The most direct control is that you do not have to give us optional information at all. Contact data, scheduling preferences and audit details are gathered because a service needs them, but we welcome conversations in which you decline parts you do not want to share.
Your browser offers privacy settings that limit cookies and block tracking scripts. Your email service lets you choose whether marketing messages reach you, and every notice we send includes a clear way to stop receiving that kind of message.
Within an ensemble, producers and section leaders often hold passwords that let them adjust their own roster and preference fields. We provide the tools and the documentation so that responsible people on site can change the details they entered without a separate office trip.
If you prefer not to share a detail that a particular service would normally request, tell the producer or write to us and we will look for a fair alternative that still meets the service goal.
15. Security of Your Information
Protecting the records of a working rehearsal is the administrative twin of protecting the instruments on the floor. We apply security controls scaled to the sensitivity of the data and to the risk of a breach.
Access to the systems that hold your data is limited to the staff and approved suppliers who need it for a described task. Strong passwords and, where practical, additional identity steps guard every doorway, and the permissions granted to user accounts are reviewed as projects open and close.
Data at rest is encrypted where our hosting platform makes that the standard arrangement, and data moving between your browser and our servers is protected by industry standard secure connections. Backups are kept so that an accident or an outage never destroys the working record of a season.
We train our small team in the basics of phishing, password hygiene and safe file handling, because the most expensive security failure begins with a single careless action. No method is perfect, and we therefore also keep an incident path ready in case of trouble.
16. Data Breach Response
Even a well run organisation can face a security incident, and the honest response to that possibility is a written plan rather than silence. Our breach response approach has four steps that we follow in order whenever a problem is found.
Containment comes first. The affected systems are isolated, the last good backup is located and the event is documented so that the scope of any exposure can be measured. Assessment follows, in which we determine what categories of records were touched and who is likely to be affected.
Notification comes third. Where law requires it, or where the risk to individuals is genuine, we tell the affected people and we tell the appropriate supervisory authority within the permitted timeline, describing what happened and the steps we took.
Learning comes last. After the immediate pressure has passed we review the cause, we improve our controls and we capture the lesson so that the same weakness does not return. We publish nothing that reveals a security flaw, but we act on the review.
17. Third Party Links on Our Pages
Our website may contain links to organisations whose work is related to ours, such as venues, publishers, orchestras and booking houses. These links are provided for convenience and do not mean that we control or endorse the privacy practices of the linked page.
When you leave our site you should read the privacy policy of the new site before you share any personal detail with it. We cannot extend this policy, or our security protections, to a web address that another company operates.
If a linked service detects that you have come from our pages it may still be a separate visitor relationship for that company. We encourage you to make your own judgement about every site you trust with your data.
18. Changes to This Policy
The practices described in this document grow as our services grow, and so we review the policy on a regular cycle. When the rules change we update the effective date shown at the top of this page so that you can always tell which version applies to you.
We make an effort to keep this language plain, because a privacy law that only lawyers can read has failed its purpose. A material change, such as a new category of data or a new reason for sharing, will be described clearly so that the meaning does not hide in a long list.
The version that applies to you is the one in force on the date you use our service. Earlier versions remain available on request if you need to understand how your data was treated under a past arrangement.
19. How We Will Notify You
Where a change reduces your privacy or gives us broader room to act, we take the view that you should know before the change takes effect. For account holders we will normally send an email to the address we hold for the project, describing the change and pointing to the updated page.
For visitors who have not shared contact details with us, the updated policy becomes the notice. We post the new version on this page with a fresh effective date, and we encourage visitors who care about their data to review the page from time to time.
Where consent itself is changing, we will not rely on our notice email alone. For a new form of consent we will ask for that consent directly, at the point of use, rather than expecting silence to mean agreement.
